Coach Operations

One shared Zoom room. Office Hours, Class is in Session, and 1:1 Milestone Calls all share the same room. Sessions cannot overlap. 1:1 calls generate individual Zoom links per Calendly booking — same room, different invite link. Arrive 2-3 minutes early. Waiting room is enabled; you admit agents and start on time.
Calendly setup: You are added with an Atlas email alias (coach.[yourname]@atlascoasttravel.com). Control your own availability, sync an external calendar to prevent double-bookings, and add a buffer between appointments. Round-robin routing distributes 1:1 bookings automatically across available coaches.
Office Hours Structure
Every Wednesday 6-7pm ET. Open drop-in — no agent registration required. Come prepared with a topic (supplier update, booking scenario, compliance reminder) in case it is a quiet session.

If you don't know an answer: Say so. Direct the agent to Atlas Academy or the Agent Resource Guide. Then post the correct answer in the community Q&A channel afterward so the whole community benefits. Never guess — agents book travel based on what they hear.
1:1 Milestone Call Checklists
Pre-Quote Call
Before the call, confirm via Calendly this is a pre-quote session and pull the relevant milestone checklist. These calls are readiness checks, not general Q&A.
Has the agent reviewed the quoting guidelines?
Do they know how to use the booking platform (MyAtlas)?
Can they communicate pricing and inclusions clearly to clients?
Do they know the required documentation before accepting any payment?
Pre-Booking Call
30-minute individual call. Agents schedule via Calendly. Confirm whether it is pre-quote or pre-booking from the booking details.
Has the agent collected a signed Credit Card Authorization Form?
Did they offer travel insurance? Signed waiver if declined?
Do they know to enter the booking in MyAtlas immediately?
Do they understand commission pays after travel, not at booking?
Any state-specific compliance to flag? (CA, FL, HI, WA)
When an agent isn't ready: Direct them back to the relevant Atlas Academy modules and encourage them to rebook the call. If there are significant knowledge gaps, use the call to cover the most critical ones and close without advancing them if needed. Submit the session log regardless — the call happened and your time counts no matter the outcome.

Holding both roles? The Partner and Coach designations are independent. Each has separate eligibility, expectations, and compensation. Agent commission payouts are issued through Dots; coach session payments are issued through Gusto. These accounts are always separate, and you will receive two 1099s at year end.
