Two Roles at a Glance
Role 1
Agent Success Coach
Leads Office Hours sessions and 1:1 Milestone Calls with agents.
Paid per session via Gusto (MNC&C entity). Separate from agent commission income.
Gets full MyAtlas suite at no cost ($16/mo value).
Kajabi tag: Coach — JF badge: coast-coach
Role 2
Atlas Booking Partner
Receives Atlas-delivered leads via MyAtlas. 80/20 split on Atlas-referred leads; 90/10 on own-sourced.
Eligible for CLIA reimbursement (annual, basic tier, after 90 days).
Must maintain 24-hr lead response commitment.

Dual Role

An agent can hold both designations simultaneously. Each role requires its own application and acceptance. Holding one does not automatically grant the other. Both Kajabi tags must be applied independently and Jenny delivers a separate orientation for each.

Where Applications Come From

Agents apply via atlascoasttravel.com/apply. Application routes to Bati and Kelley in Missive automatically. The program is open to any active agent who meets eligibility requirements — it is not invitation-only, though Melissa, Bati, and Kelley may proactively reach out to strong candidates from the Booking Partner base.

Vetting Process
  • 1
    Kelley and Bati review the application in Missive. Check that the agent meets the baseline eligibility requirements for the role they applied for (see Section 5). Flag any concerns in an internal comment.
  • 2
    Jenny is looped in for any applicant who passes initial review, particularly for the Coach role. Jenny's assessment of fit for the coaching relationship carries significant weight.
  • 3
    Interview / conversation if warranted. Kelley, Bati, or Jenny may reach out directly to have a Zoom or async conversation before a decision is made. No formal script required — this is a judgment call.
  • 4
    Decision made. Kelley, Bati, and Melissa align on yes or no. Jenny's input is factored in, especially for coaching candidates.
If Not Selected

Do not tell a declined applicant to re-apply. Their application is held on file and they will be considered when a position opens. A brief, warm response acknowledging their interest and letting them know they'll be kept in mind is appropriate. Bati or Kelley handles this communication.

Acceptance & Provisioning
Owners: Kelley / Bati (invitation email) — then automated
Step 1 — Personalized Invitation Email (Manual)

    Kelley or Bati sends a personalized email to the selected applicant from [email protected] via Missive. The email should feel warm and specific — not a form letter. Acknowledge why they stood out. Confirm the role(s) they've been selected for.
  • 2
    Direct them to review the terms and complete the acceptance form at atlascoasttravel.com/accept. Include the link directly in the email. Make it clear this is how they officially accept their designation.
  • 3
    CC Jenny on the invitation email so she knows to expect the new Coach or Partner and can begin planning the orientation Zoom.
Step 2 — Acceptance Form Submission (Automated)

When the applicant submits the acceptance form, Kajabi automations fire immediately. No manual action required from staff at this point.

Coach Acceptance — Kajabi Automation

  • 2 Grant access to: Atlas Partners & Coaches course in Kajabi
  • 3 Send welcome email: "Welcome — here's what's next" (covers training course, session expectations, pay structure, Jenny's upcoming Zoom)
  • 4 Zap 8 fires: activates coast-coach badge on agent's MyAtlas directory profile
Booking Partner Acceptance — Kajabi Automation
Trigger: Acceptance form submitted with Booking Partner role selected
  • 1 Apply tag: Booking Partner
  • 2 Grant access to: Atlas Partners & Coaches course in Kajabi
  • 3 Send welcome email: "Welcome — here's what's next" (covers training course, how leads work, 24-hr response requirement, CLIA reimbursement eligibility, Jenny's upcoming Zoom)
  • 4 Zap 9 fires: activates coast-partner badge on agent's MyAtlas directory profile
Step 3 — Self-Guided Training

The new Coach or Partner is expected to complete the online training course at their own pace: atlascoasttravel.com/products/atlas-partners-coaches. Jenny's 1:1 Zoom (Section 4) supplements this but does not replace it. The welcome email directs them to start the training before the Zoom.

After Acceptance

The new Coach or Partner has the correct Kajabi tag, course access, JF badge on their directory profile, and the welcome email in their inbox. Standard agent membership and commission flow are not affected. Next step: Jenny's orientation Zoom.

Jenny’s 1:1 Orientation Zoom

After the acceptance form is submitted, Jenny personally reaches out to schedule a 1:1 Zoom. This is not automated — Jenny initiates it based on the CC on the invitation email and the acceptance notification. The content of the Zoom depends on the role.

Jenny's Scheduling Workflow

Jenny uses the Zoom and Calendly setup referenced in the Managing Agent Success Coaches staff lesson: Zoom and Calendly lesson. She sends the scheduling link directly to the new Coach or Partner once she receives the CC'd invitation email or sees the acceptance confirmation.

Offboarding
Restricted — Staff SOP
Coach & Partner Offboarding
Owner: Bati — Bati initiates all offboarding. Donna does not remove coach or partner tags without explicit instruction.
Before Removing Any Tag

Confirm with Melissa or Bati before removing the Coach or Booking Partner tag from any agent's record. Tag removal triggers automated access revocation immediately. Make sure open bookings and session commitments are handled first.

Two Offboarding Scenarios

Offboarding Steps
  • 1
    Handle open bookings and sessions first. For voluntary: confirm the departing Partner/Coach has managed their open work or handed off appropriately. For involuntary: Bati reassigns open leads and sessions before tag removal.
  • 2
    Apply the Former tag in Kajabi. Bati applies Coach - Former and/or Booking Partner - Former to the agent's contact record. These tags trigger the Kajabi automations below.
  • 3
    Verify automations fired. Check the agent's Kajabi contact record to confirm the Coach and/or Booking Partner tag has been removed and the course offer has been revoked.
  • 4
    JF badge removal. The badge revocation Zaps (8b and 9b) are pending Tim Peterson's confirmation of the correct event field. Until those Zaps are built, Bati must manually remove the JF badge via the JourneyFuse admin dashboard. See open item note below.
  • 5
    Agent membership is not affected. Removing the Coach or Booking Partner tag does not cancel the agent's standard Atlas Coast membership or affect their commission payments from their own bookings. Standard TA Active status and Dots payouts continue uninterrupted.
Kajabi Automations That Fire on Former Tag

  • 2 Revoke offer: Atlas Partners & Coaches course (unless agent also holds Coach tag — in which case course access remains)
  • 3 Zap 9b fires once built: removes coast-partner badge from JF directory profile. Until built: Bati removes manually in JF admin.
Open Item — Badge Revocation Zaps Pending

Zaps 8b (Coach - Former → badge removal) and 9b (Booking Partner - Former → badge removal) are designed but not yet built. They are blocked on Tim Peterson confirming the correct event field value for badge revocation in JourneyFuse. Email sent to Tim on May 26, 2026. Until Tim responds and the Zaps are built, Bati must manually remove JF badges after applying the Former tag.

Once Tim confirms: build Zaps 8b and 9b, then update this SOP to remove the manual step.

Ownership Summary
Kelley / Bati: Application triage, vetting, final selection, invitation email, offboarding decision and execution.
Jenny: Input on coach vetting, 1:1 orientation Zoom for all new Coaches and Partners, session tracking and pay approval, CLIA reimbursement verification (coaches portion only — Betsy approves Partners).
Bati: Owns all offboarding tag applications and JF badge removals. Involuntary removal decisions require Melissa's sign-off before Bati executes.
